The Research Grants team look after the invoicing for the Commercial and Non-Commercial research studies, supporting the R&D Department who are based on S4 (Level 4 of the S block). This team is based in Barton House.

Breakdown of the process for Commercial Studies

Our part in the process begins once the contract for a study has been signed off by the Trust and the Sponsor:

  1. Check the costs in the contract and the Industry Costing Template agree.
  2. Set up a new separate cost centre in the accounting system specifically for the study.
  3. Issue an invoice to the sponsor for the set-up fees.
  4. Liaise with the Investigator / Sponsor / research team for the information regarding patient visits.
  5. Issue invoicing for the patient visits completed - making sure that the income is split correctly between departments based on the costing template.
  6. Follow up on sponsor queries to make sure that the invoices are paid.
  7. On receipt of the end-of-study notification, we will check with the study team to make sure that we have billed for all of the patient visits and patient expenses.
  8. Once we have reconciled the income and costs for the study we will then close the cost centre down.

Types of Accounts

We classify the different types of cost centres into three categories:

  1. Commercial Studies
    These are set up to be used specifically for the income and costs for individual commercial studies (as described above).
  2. Research Accounts.
    These are held by individual budget holders or by departments for the Investigator's funds to be held in, and these are then used for attending conferences, training, staff costs, purchasing equipment etc.
  3. Grants
    We receive grants from non-commercial organisations that need to be held separately, i.e. for salary costs.
